A step-by-step guide to what to expect

Whether you’re here for yourself or your child, we’re so glad you’re exploring this process. An evaluation can bring clarity, direction, and insight—helping you understand how the brain works best and what kinds of support can help things feel smoother. Here’s exactly what to expect, from first contact to final report.

Step 1: Schedule a Free 15-Minute Intro Call

This is a chance to ask questions, learn more about our approach, and make sure we’re the right fit for you.

  • Available by phone, video, or in person
  • You can talk with Dr. Lethco or her associate, Dr. Hilary Gibson
  • No charge, no pressure

Step 2: Book an Intake Consultation

Once you’re ready to move forward, the next step is an intake session.

During this meeting, we’ll review:

  • Your (or your child’s) history and current concerns
  • Any school or medical background that’s helpful
  • Your goals—what you’re hoping to learn or figure out
  • Possible diagnoses to rule in or out
  • What areas we may need to explore through testing

This helps us build a thoughtful, individualized plan for your evaluation.

  • Cost: $350
    • This amount is credited toward the total cost of your full assessment if you choose to move forward.
    • If you decide not to continue after the intake, you’re only responsible for the $350 consultation fee—no further obligation.
  • Intake paperwork will be emailed after scheduling. This helps us get a full picture of what’s going on and who’s involved in care (like teachers, therapists, or doctors).
  • We’ll also request permission to speak with anyone relevant, like a teacher or spouse—only with your consent. 

Appointment Duration:
The intake consultation typically lasts between 60 to 90 minutes. This can be done in person or virtually, depending on your preference and the nature of the evaluation.
If you prefer a virtual session, we can discuss that during the consultation to ensure it works for both of us.

Step 3: Testing, Observations & Data Collection

Based on your intake session, we’ll schedule testing sessions tailored to your needs. These may include:

  • Cognitive and academic testing
  • Attention, memory, and executive functioning
  • Emotional, social, and behavioral questionnaires
  • Observations in a school setting (if needed)
  • Interviews with teachers, caregivers, or other providers
 

Testing Areas We Offer:

We specialize in a variety of assessments to give you a complete picture of what’s going on. Some of the areas we commonly test for include:

  • ADHD (Attention Deficit Hyperactivity Disorder)
  • IQ (Intelligence Quotient) Testing
  • Learning Disabilities
  • Autism Spectrum Disorder (ASD)
  • Mood and Behavior Concerns

If someone is bringing the individual being assessed to the appointment, they’re welcome to wait in the lobby (Wi-Fi is available) or leave and return at the end—either option is fine. However, if the child is not potty trained or needs support using the bathroom, we do ask that a parent or caregiver remain on-site during the appointment. Most testing appointments take place in person, though some may be offered virtually depending on the situation. We’ll discuss these options during your intake session to determine what’s best.

If a school observation is part of your plan:
We’ll coordinate the visit directly with the teacher and school staff—but your child should not know that they’re being observed.

This helps us get the most natural, accurate sense of how they function in a typical classroom setting. We want to be a neutral, invisible presence—just quietly gathering insights without changing how your child acts or feels.

Step 4: Analysis & Report Writing

After all testing is completed, we spend time:

  • Scoring and interpreting results
  • Integrating feedback from observations and questionnaires
  • Writing a comprehensive report that includes diagnostic impressions and clear, personalized recommendations
 

You’ll receive a report that not only explains the findings, but also helps you understand what they mean—and what to do next.

Step 5: Feedback Appointment

About two weeks after your final appointment, we’ll meet for a feedback session to go over everything together. You’ll walk away with:

  • A deeper understanding of how the brain works
  • Specific next steps, accommodations, referrals, or support options
  • A written report you can share with schools, providers, or keep for yourself

Your full report is typically available the day of the feedback session or within one week.

Ongoing Support:
Ongoing support may be available at Brain Insights, depending on the recommended actions. If other services or specialists are better suited to the needs, referrals to the most qualified provider will be made. Not all families choose to continue with Brain Insights after the evaluation.

Step 6: Optional Follow-Up

After your feedback session, you’re always welcome to reach back out.

Some people choose to schedule a 10–15 minute check-in about a month later to:

  • Ask follow-up questions
  • Talk through implementing recommendations
  • Share updates or clarify next steps

And for those who want to continue working together, we also offer:

  • Executive functioning coaching
  • Individual therapy
  • Parent coaching
  • Support for sleep issues and anxiety

What Does It Cost?

We know this is an investment, and we want everything to be transparent:

Understanding Fees & Insurance

We are an out-of-network provider, which means we don’t bill insurance directly. However, many families can get partial reimbursement.

Here’s how that works:

  • We’ll provide you with a superbill—an itemized receipt you can submit to your insurance.
  • You can also ask your insurance company if they offer a gap exception (this allows them to cover an out-of-network provider when no one in-network offers the service you need).
  • Every plan is different, so it’s worth calling your insurance to ask about out-of-network mental health testing coverage.

What Should I Tell My Child About Testing?

When discussing therapy with your child, approach the conversation with kindness and openness about the challenges they may be facing. You might say, “We’ve noticed you have been feeling really sad lately, and we want you to know that it’s okay to struggle. Just like we go to the doctor when we’re sick or the gym to get stronger, therapy is a special kind of gym for our feelings and thoughts. It’s a place where you can learn new ways to deal with what’s bothering you and practice skills to help you feel better.” Assure them that seeking help is a sign of strength and that you are proud of them for taking this step. Let them know that you’re there to support them every step of the way because helping them is one of the most important parts of being a parent. 

Let them know it’s okay to have mixed feelings about it, saying, “It’s normal to feel a little nervous about meeting someone new, but the therapist is here to help you, not judge you. You can share as much or as little as you’re comfortable with.” Assure them that therapy is a safe space, “Whatever you talk about in there is private, and it’s all about helping you feel happier and stronger.” These simple, honest explanations can help demystify therapy and support your child in embracing the process with an open mind.
